Side events

Each year Arctic Frontiers gathers more than 3500 delegates from 35 countries. During the conference week a number of side events are arranged alongside the main Arctic Frontiers conference program. Our side events and breakout sessions offer a closer look into the topics covered at the main program. This provides a benefit to our partners, delegates and external organisers of side events.

VISIBILITY

By arranging a side event at our arena the organisers get to take an active part in the conference program. Approved side events are included in the official conference program and get to use the logo of Arctic Frontiers for branding of their event.

Arctic Frontiers is primarily working along four thematic lines, and the side events, which are arranged during the conference week should be connected to one, or several, of these lines:

1. Smart Arctic

Sub topics: Resilient societies, innovation, technology transfer, smart infrastructure, connectivity.

2. Blue Future

Sub topics: Healthy and productive oceans, sustainable ocean economy, balanced approach to use and protection of marine resource.

3. Sustainable Business Development

Sub topics: Resources, competence, technology, green competitiveness, energy, transportation, resources, business trends and knowledge-based growth in the Arctic.

4. Science to Policy

Sub topics: Knowledge based policy development, the role of science in the development of the Arctic region, balanced growth discourse, science diplomacy, global trends on science-policy interaction

VENUE & LOGISTICS

Side event organisers can choose between two main venue options:

CLARION HOTEL THE EDGE AND THE FRAM CENTRE
Price: 10.000 NOK (plus VAT). What is included:

  • Venue
  • Logistics (basic preparation/setup of the meeting room prior to the event with tables, chairs, projector, screen, microphones, coffee/tea/water, pen and paper)
    Assistance by consultants from Vican AS (basic logistical help 1 hour prior to the event) Please note that additional services by Vican AS will come at an extra cost.
  • Promotion on our website
  • Side event manual with tips for planning, promotion and producing a side event successfully

ANY OTHER DESIRED LOCATION IN TROMSØ CITY CENTRE
Choose a venue and communicate directly with the venue regarding all practical issues. Price: 3000 NOK (plus VAT). Included in the price:

  • Use of the Arctic Frontiers logo
  • Promotion on our website
  • Side event manual with tips for planning, promotion and producing a side event successfully

REGISTRATION

All participants and organisers of side events at the main venue, Clarion Hotel the Edge, must be registered in our conference registration system.

Conference delegates get free access to the all side events taking place on the same day as they attend the main conference program. The non-delegate fee for a side events only day pass is 750 NOK.

SIDE EVENT PROPOSAL

If you are interested in arranging a side event at Arctic Frontiers 2020, please send an email with a side event proposal to vilde@arcticfrontiers.com.

The proposal should contain following:

  • Short description of the event (title, main questions to be addressed and target audience)
  • Description of how the event connects to one, or several, of the thematic lines
  • Co-organisers or partners contributing to the side event

Time frame of the side event should not exceed 90 minutes. Please note that the side event proposal must be approved by Arctic Frontiers in order to be a part of the official conference program.

The first deadline for side event proposals is 18 October, after which the Arctic Frontiers secretariat will start the distribution of time slots. Organisers are strongly advised to submit initial proposals before this date.

Please note that side event proposals cannot be submitted after 15 November 2019.
